WeGoGym Privacy Policy
Last Updated: 24 October 2026
WeGoGym respects your right to privacy. This Privacy Policy explains who we are, how we collect, share and use personal information about you, and how you can exercise your privacy rights.
This Privacy Policy applies to our website at wegogym.club (the “Site”), including the waitlist, facility registration and the emails we send (together with the Site, the “Services”). If you have any questions or concerns about our use of your personal information, please see the “How to Contact Us” section below. The rules for using the Site are in our Terms of Use.
The waitlist is not intended for or directed to persons under the age of 13, and you must be 18 years of age or older to register a facility. We will not knowingly collect personal information from children in breach of these limits.
If you are in the United Kingdom or the European Economic Area, please also review the “Special Terms (UK and EEA)” section below. How we use cookies and similar technologies is explained in our Cookie Notice at the end of this page.
1. What Does WeGoGym Do?
WeGoGym is a marketplace that will let people (“Members”) find and book one-off, off-peak sessions at gyms, pools, studios and other fitness and wellness facilities, operated by independent businesses (“Partners”), without a subscription.
WeGoGym has not launched bookings yet. At present the Services let Members join a waitlist and let Partners register their facility ahead of launch. Bookings and payments are not yet available, and this Privacy Policy will be updated before they are.
WeGoGym is operated by Amman Meah, a sole trader, trading as WeGoGym (“WeGoGym”, “we”, “us” or “our”). WeGoGym is the controller of the personal information described in this Privacy Policy, which means we decide how and why it is used and are responsible for protecting it.
2. What Personal Information Does WeGoGym Collect?
Personal information is any information that identifies you or relates to you as an identifiable individual. The personal information we collect depends on how you use the Services.
Personal Information You Provide To Us.
- Waitlist: when you join the waitlist, we collect your email address and the activities you currently do and would like to try, including anything you enter under “Other”. You may also choose to give us a username to reserve, your title, first name and last name, and cities you might train in while travelling.
- Partner Account: when you create an account to register a facility, we collect your name, email address, password and date of birth. Your password is stored in a scrambled form (a “hash”) so that nobody at WeGoGym can read it. We also record the date and time you confirm that you are authorised to list the facility.
- Facility Listing: the facility’s name, address, type, description, opening hours, amenities and photos.
- Business Details: the registered business name, company number, contact name, contact email address and contact phone number.
- Our Review of Your Registration: when our team reviews a facility registration, we record our decision (for example, accepted or declined), any notes we make about the registration, which team member made them and when, and whether we emailed you about it.
- Communications: when you email us, we collect the contents of your message, your email address and any other information you choose to give us.
Required and optional information. To join the waitlist we need your email address and at least one activity; everything else is optional. To register a facility we need your name, email address, password and date of birth, and the facility’s name, address, type, description, registered business name, contact email and at least one photo. If you do not provide these, we cannot create your waitlist entry, account or listing. The company number, contact phone number, opening hours and amenities are optional.
Photos are re-saved in your browser before they are uploaded. This reduces their size and removes hidden information stored inside photo files, such as the location where a photo was taken.
Personal Information Collected Automatically.
- Device and Connection Information: like any website, the services that deliver the Site receive technical information such as your internet protocol (“IP”) address and browser type, and may keep it in short-lived security logs.
- Abuse Prevention: when you join the waitlist, we create a scrambled code from your IP address so we can limit how many sign-ups come from one connection. We store the scrambled code, not your IP address, and it cannot easily be turned back into the address.
- Account Security: when you log in to register a facility, our account provider records your IP address and browser details for security purposes.
- Cookies and Similar Technologies: see our Cookie Notice below.
Personal Information Made Public.
A facility listing is shown to the public only once we have approved it. At that point the facility’s name, address, type, description, opening hours, amenities and photos are visible to anyone. Your personal account details, date of birth, registered business details and contact details are never shown on the listing.
Photos are kept in a public file store from the moment they are uploaded, including before approval, so a person who knows how to look could find them. Please only upload photos you are happy to be public, and do not upload photos showing people who have not agreed to it.
Usernames reserved through the waitlist are not shown publicly at present. If that changes when bookings open, we will update this Privacy Policy and tell you first.
3. What Does WeGoGym Do with the Personal Information it Collects?
We use the personal information we collect for the following purposes:
- Waitlist and Launch Updates: to tell you when WeGoGym opens and send the launch updates you asked for, and to hold the username you reserved so that nobody else can take it.
- Service Planning: to decide which activities, facilities and cities to offer first, based on the answers given by people on the waitlist.
- Partner Accounts and Listings: to create and manage your account, let you log in, save your registration as you go, and build and review your listing before it goes live.
- Reviewing Registrations: our team reviews each facility registration to decide whether to take it forward. We may keep notes on it and email the business contact about it, for example to ask for more information or to tell you our decision.
- Verification and Eligibility: to confirm that you are 18 or older, that the business is real, and that you have confirmed you are authorised to list the facility.
- Communication: to send you account codes and service messages, and to respond to your questions and requests.
- Security and Abuse Prevention: to keep the Services secure and free of spam and automated abuse.
- Legal Obligations: to keep business and tax records, respond to lawful requests, and establish, exercise or defend legal claims.
We do not sell your personal information, we do not use it for advertising, and we do not make decisions about you based solely on automated processing.
5. How Does WeGoGym Keep My Personal Information Secure?
We use appropriate technical and organisational measures to protect the personal information we collect and process. Information travels over encrypted connections. Access is limited by database rules, so each Partner account can only see and change its own registration, and only WeGoGym administrators can see registrations, our review notes and waitlist sign-ups as a whole. Administrators must log in with a password and a second step (a code from an authenticator app on their phone). Passwords are stored only in hashed form.
No method of transmission or storage is completely secure. If a security incident puts your personal information at risk, we will tell you and the regulator where the law requires it.
6. International Data Transfers
Our main database is located in the United Kingdom. Some of our service providers are based in the United States or other countries and may process personal information there. These countries may have data protection laws that differ from those of the country where you live.
Where personal information is transferred outside the UK, we rely on the UK’s legal safeguards for international transfers: UK adequacy regulations (including the UK Extension to the EU-US Data Privacy Framework, for providers certified under it) or the UK’s approved contract terms for international transfers. You can ask us for details of these safeguards using the contact details in the “How to Contact Us” section below.
7. Data Retention
We keep personal information only for as long as we have an ongoing legitimate need to do so, as follows:
- Waitlist Entries (including any reserved username and name): until WeGoGym launches plus 12 months, or sooner if you unsubscribe or ask us to delete your entry.
- Unfinished Facility Registrations: deleted after 12 months without activity. If WeGoGym is not yet open in your country, we keep your draft until we open there, or until you ask us to delete it.
- Partner Accounts and Listings: for as long as the account is open. After it closes, we keep business and tax records for up to 6 years as the law requires, and delete the rest.
- Our Review Notes and Decisions: kept with the registration they relate to, and deleted with it.
- Emails With Us: up to 2 years after the conversation ends, unless they form part of business records.
- Security Logs held by our service providers: for their usual short periods.
When we no longer need personal information, we delete it or make it anonymous. If that is not possible (for example, because it is held in backups), we store it securely and isolate it from further use until deletion is possible.
8. Your Data Protection Rights
Under UK data protection law you have the following rights:
- Access: you can ask for a copy of the personal information we hold about you.
- Correction: you can ask us to correct personal information that is inaccurate or incomplete.
- Deletion: you can ask us to delete your personal information.
- Restriction and Objection: you can ask us to limit how we use your personal information, or object to our use of it, including where we rely on our legitimate interests.
- Portability: you can ask for the personal information you gave us in a common electronic format, or ask us to send it to someone else.
- Withdrawal of Consent: where we rely on your consent, you can withdraw it at any time, for example by unsubscribing from waitlist emails using the link in any of them. Withdrawing consent does not affect anything we did before you withdrew it.
- Complaints: you have the right to complain about our use of your personal information, as described in section 12.
To exercise any of these rights, email hello@wegogym.club. We will respond within one month. We may ask you to confirm your identity first. There is normally no charge.
9. Third-Party Sites
The Services may contain links to websites operated by others, such as a facility’s own website or the regulator’s website. We do not control those websites and are not responsible for their privacy practices. We encourage you to read the privacy policy of every website you visit.
10. Updates to this Privacy Policy
We may update this Privacy Policy from time to time in response to changing legal, technical or business developments, for example when bookings and payments open. When we update it, we will change the “Last Updated” date at the top of this page. If we make a change that affects you significantly, we will tell you by email before it takes effect.
11. How to Contact Us
The controller of your personal information is Amman Meah, trading as WeGoGym.
If you have any questions or concerns about this Privacy Policy or our use of your personal information, whether you are a Member or a Partner, please email hello@wegogym.club.
12. Special Terms (UK and EEA)
What is our Legal Basis for Processing Personal Information?
If you are in the UK or the European Economic Area, our legal basis for collecting and using the personal information described above depends on the information concerned and the context in which we collect it:
- Consent: your waitlist email address, activities, travel cities, and any username, title and name you give us, used to send launch updates, hold your username and plan the Services. You can withdraw your consent at any time.
- Contract: where processing is needed to take steps at your request before entering a contract with you, such as creating your Partner account and building your listing from your account, facility and business details.
- Legitimate Interests: where processing is in our legitimate interests and not overridden by your rights, specifically: keeping the waitlist free of spam (the scrambled IP code); checking that businesses are real and not contracting with children (date of birth and business details); keeping a record of who confirmed they were authorised to list a facility, and when; reviewing registrations, keeping notes on them and emailing the business about them; securing accounts; and answering your emails.
- Legal Obligation: where we need to keep business and tax records or respond to lawful requests.
If you have questions about the legal basis on which we collect and use your personal information, please contact us using the details in the “How to Contact Us” section above.
Security Measures
The measures we use to protect your personal information are described in section 5.
Right to Complain
If you are unhappy with how we have handled your personal information, please complain to us first by emailing hello@wegogym.club with “Data protection complaint” in the subject line. We will acknowledge your complaint within 30 days, investigate it, keep you updated and tell you the outcome.
You also have the right to complain to the Information Commissioner’s Office (“ICO”), the UK data protection regulator, at ico.org.uk/make-a-complaint or by phone on 0303 123 1113. If you are in the European Economic Area, you can complain to the data protection authority in your country.
